Use an in-hands date

Give the date the apparel must be usable, the event name, venue or delivery location and the receiving contact. Include any access window, loading instructions, advance-warehouse requirements or exhibitor reference. A local delivery still needs a practical receiving plan.

For a show at Save Mart Center or another Fresno event, check the venue’s current instructions rather than assuming the production contact can accept cartons anywhere at any time. Delivery arrangements and charges must be confirmed with the order.

Prepare one clear job specification

Include garment brand and style, color, quantity per design, size breakdown, print locations, approved artwork and any brand color requirements. Attach the PO or project reference if you use one. A shared brief reduces the chance of different people working from different versions.

List separate designs and placements clearly. A quantity of 500 spread across several artworks is different from one run of 500 identical designs. Big Bear’s minimum is 72 pieces per design, with the final specification reviewed for the job.

Choose the method around the artwork and deadline

You do not need to select screen printing automatically. Detailed full-color artwork, a performance garment, a cap logo or a repeat bulk design can lead to different decoration recommendations. Send the files and the desired result so the garment and process can be reviewed together.

A deadline is accepted only after availability and production requirements are checked. If the schedule is urgent, make that clear before garments or artwork are committed. Do not treat a request for a date as a confirmed booking.

Explain how the goods will be used

Merchandise for sale, staff uniforms, volunteer distribution and sponsor apparel can need different garment choices and packing plans. If cartons need size labels, separate departments or more than one destination, put that in the original brief.

Special packing, discreet shipment or split deliveries need feasibility and cost confirmation. Clear instructions help us quote the actual job rather than leave an assumption to be discovered during the handoff.

Close the approval loop

Use one person to confirm the written quote and approved artwork version. Check spelling, placements, garment details, sizes and the receiving plan. Full cleared payment and written artwork approval are required before production.

Companies outside California, including international teams with a Fresno event, can start with the same brief. Our contract page explains the details to send; the agreed local arrangements are confirmed in writing.
